We are recruiting for a Document Controller/Administrator to join an engineering consultancy based in Southampton. You will be responsible for ensuring that project documents follow the Company’s standards, stay maintained and accurate and are available to all employees, managers, customers and sub contractors.
The Document Controller will mainly work with technical documents like drawings, technical submittals, RFI’s and reports and perform tasks such as uploading, editing, printing and the distribution of them. They will sort and store electronic and hard copy documents for customers, designers, surveyors, architects, sub- contractors, and colleagues.
Key responsibilities:

  • Set up folder structures, copy, scan, and store project related documents
  • Create templates, manage and monitor
  • Manage requests for documentation from project stakeholders
  • File documents in physical and digital records and ensure appropriate storage
  • Review and maintain the accuracy of the records, editing where necessary to ensure they are always up to date
  • To liaise with and distribute project related information with all levels of the project team and external parties
  • Manage the processes around document control within the company and its projects
  • Ensure all documents are checked thoroughly and submitted on time prior to the document’s submission due date

Key Skills:

  • Strong IT skills in MS Office including Outlook, Excel, and Word, with training being provided regarding any other software package which may be utilised to successfully perform the role
  • Thorough and a good attention to detail is required
  • The ability to multitask and achieve prescribed deadlines
  • Highly organised with excellent communication skills and able to work well with others
  • Proficient typing and administration skills with excellent customer service skills
  • Able to use your initiative and work on your own and as part of a project team
  • Able to accept constructive criticism and work well under pressure
  • Flexible and open to change, identifying alternative methods for enhanced efficiency
